How to preparing the Halls for Class

WHAT YOU
NEED TO START
From the Info Point:
- Walkie-talkie, switched on and tuned to channel 8
- Clipboard
containing:
- A spreadsheet with the list of the classes for the day and the halls they are assigned to
- A sign in sheet for the students’ names
- Copy (4 laminated pages) of the document “Halls Check list”
- Pen for notes
From the hall you are preparing:
- A broom
- Mosquito coils and a lighter if it is an outdoor hall (extras are stored in the top drawer of the storage bin behind Buddha Hall)
- Props (such as cushions, yoga mats, blindfolds) for the teacher and students, as required
BEFORE
STUDENTS ARRIVE (30 minutes before class):
- Prepare
each hall to be ready at least 15 minutes before the class start time, when
students may start to enter. Generally, for the outdoor halls, this entails:
- sweeping the floor
- Ensuring that sufficient mosquito coils are lit. To avoid contaminating the environment, dispose of ashes and pieces of mosquito coils in a plastic container.
- turning on the lights
- turning on the fans
- tidying the mats and cushions on the shelves
However, because each hall has slightly different requirements, refer to the laminated sheet in the hall for guidance.

Sudarshan kriya | Place a mat with a cushion at the front of the hall for the teacher (next to the sound system). Put as many mats in the first row as possible, with them touching each other. If you need more mats, the second row should start at the center and move out. On each mat, place a cushion, alternating one at the front of the mat, the next at the back of the mat, so that everyone has space to freely move their arms. |
AS STUDENTS ARRIVE
- Allow students to enter the hall 15 minutes before the class start time.
- Welcome every student to the hall with a smile.
- Unless it is a free class, make sure every student has a pass for the class or is wearing on their wrist or ankle a band in the correct color for the week. If they do not, politely ask them to go to the Welcome Centre to get one before participating in the class.
No student should be allowed in class (that is not free) without a pass or not wearing a band in the right color.
- Ask every student for their name and legibly write it on the sign in sheet.
- For yoga classes, make sure students place their mats to maximize the capacity of the hall. Help students re-arrange their mats if necessary.
- If it is 10 minutes before the class is scheduled to start and the teacher has not yet arrived, notify the Welcome Centre so that they either can contact the teacher or send a replacement.
- Before class starts, ask the teacher if he or she needs anything else.
- If you are in the Awakening Hall and the air conditioning is on, ensure that the door is closed.
ONCE CLASS HAS STARTED
- Wait
outside the hall for 15 minutes in case students arrive late.
- If the class is in the Awakening Hall and the teacher has closed the door and curtain, do not let late students enter.
- For all other halls or if the door and curtain of the Awakening Hall is still open, make eye contact with the teacher before letting in late students to ensure that they will not disrupt the class.
- After 15 minutes, bring the passes and clipboard with its contents to the Welcome Centre.
- 5 minutes before the class is scheduled to end, return to the hall and wait outside. If the scheduled class end time has passed, discretely and politely let the teacher know by making the “time’s up” hand gesture.
AFTER THE CLASS IS FINISHED
- After the
class ends, stay for 10 minutes or less, if all students are gone, so that you
can do the following:
- Tidy the hall and put everything in place as per the laminated hall check sheet.
- Turn off the fans and lights. To turn off lights and fans in the Awakening Hall, remove the keycard next to the door and place it on top of the cushions shelving. Take the used masks to the laundry, and bring back the clean ones
- Return to
the Info Point the
walkie-talkie, at the end of the shift
- Take to the Welcome Center any personal objects forgotten in the hall so that they can be placed in the lost and found property box
