Author: Ishi
Audience: Welcome Center and Bookings manager
Abstract: This document describes the series of steps required to calculate an accommodation upgrade both for a student that has not arrived yet to the school and for a student that has already started their staying. This document is applicable for all packages and courses of Samma Karuna.
· Do we have availability inside the campus for the requested upgrade?
- You can find this information at the Excel file “Bungalow Planner Samma” located at Google Drive, folder Samma karuna/Bookings
- Link to the file: <Bungalow Planner Samma>
· Is the customer requesting accommodation upgrade already staying at the school?
No (customer did not spend a night at the school yet): Just find the price of the customer’s package with the upgraded accommodation on our website and discount the accommodation they already paid to calculate how much they would need to pay for the upgrade.
Yes (customer is already staying at the school):
Is the customer complaining about his accommodation or just wanting to upgrade to feel more comfortable?
If customer is complaining about his accommodation rather contact the operations manager of the school to deal with this issue first.
If customer just want to upgrade for a more comfortable staying follow this procedure to calculate the price difference:
- Find out how many nights the student would like to upgrade
- Find our price difference per day between the accommodation the customer has booked and the accommodation he wishes to upgrade.
This information can be found on the following KB: <Bungalows per accommodation type and rental cost per day>
(consider the price of the accommodation will change depending on the season).
- Multiply the number of night to upgrade (step one) by the price difference between accommodation types (step 2) and this is how much the customer should have to pay.
Note: Accommodation upgrades can be paid in cash or by Paypal or credit card. If the customer wishes to pay with credit card or Paypal you would have to contact the bookings manager to send an invoice to the customer’s email.
