version 1.3 August 2019

Audience: Events Manager
Abstract: The following document explains how to choose a date for a workshops based on the other workshops that are already scheduled in the calendar. This knowledge is based on the understanding of which “type of people” take which workshop and based on the assumption that generally people does not take 2 workshops in a row.
Type of people that take workshops:
E: Energy people
K: Knowledge people
A: Art work people
B: Breath work and catharsis people
I: Introspection, stillness and sharing circles people
T: Tantra and intimacy work people
Y: Yoga people
Rules:
Never schedule this types of workshops next to each other:
K Y
I K
T A
T B
E I
T A
Type to avoid these types next to each other:
I K
I Y
Also you must avoid as well scheduling 2 workshops of the same type one next to the other for example K ßà K.
The only exception to this rules are long courses such as TTCs where you can use one small course before the TTC (up to 3 days) to promote the TTC but this course should finish at least 5 days before the TTCs starts and should be thought by teachers that will teach at the TTC.
Other rules:
- As soon as a Yoga TTC is finished should be 1 or 2 “advanced” workshops in yoga such as yoga therapy or an alignment workshop.
- As soon as a women circle TTC is finished should be a workshop focused on women
- Don’t forget to consider halls allocation when scheduling a workshop
- As soon as a Tantra TTC is finished should be 1 or 2 extra Tantra workshops with a Tantra teacher that thought at the TTC
- You need to know before scheduling a new workshop which workshops worked best for the school and in which months and try the keep this equation.
Once you have found a possible
location for a workshop based on the above rules you must open the “Hall Daily
Occupancy.xlsx” file saved in the Google Drive and confirm you can allocate a suitable
hall for the workshop before confirming the workshops to the teacher.
Guidelines on
How to choose the right hall for the right activity can be found on the Know
How document alled “How to assign an activity to a hall”.
