Guidelines to coordinate teacher training courses at Koh Phangan (YTTC, TTTC & BFC)

Abstract:

The purpose of this document is to provide an overview of preparations and communications required at different stages of the TTCs.

  • Request updated students’ info sheet from bookings
    • This sheet must have a list of all confirmed students and outstanding balance.
  • Confirm in Cloudbeds all assigned rooms match the accommodation booked by the students, and room-sharing students have been assigned within the same gender.
  • Ensure the “Teacher and staff” WhatsApp group for the course has been created and all involved members are there. Give a nice welcome to everyone and introduce yourself. πŸ˜‰

Before the start of the course

  • Create welcome bags for all students, ask the lead teacher of the course what they should include if you don’t know.
    • Bag
    • Initial Hand-out available in Google Drive (you must read it and update the info accordingly)
    • Pen and notebook
    • Manual of the course
    • 112 Tips book
    • Nati pots (only for YTTC)
    • Tongue scraper (only for YTTC)
  • Create a WhatsApp group with all students (one group per course) and add the bookings manager, duty manager and welcome center staff to it. Teachers should not be part of this group.
  • Create a WhatsApp Channel with all students (one per group), the WhatsApp group is used for communication between students whilst the WhatsApp channel for announcements only, such as when halls change or class starts early. Teachers should not be part of this group either.
  • Ask the lead teacher of the course if she/he would like to organize a teacher’ meeting before the course starts.
  • Ensure the restaurant is ready to serve for the course. Look at the webpage of the course and confirm the restaurant is able to serve accordingly.

Starting day of the course (First Sunday, course orientation)

  • Arrange student pickup from Pier – Pick students up at the pier upon arrival or set up a taxi service if many students are arriving at the same time.
  • Ensure they all get a welcome drink and that they complete all check-in forms for the course.
  • Settle student payments – Esnure all students complete payment on arrival. If a student has an issue an cannot pay on arrival inform the duty manager.
  • Arrange Induction meeting – Tipically this meeting is done at 6pm the day the course starts.
    • Arrange the mats beautifully in a big nice circle shape.
    • Two cussions per mat is usually good.
    • Add the welcome bags to each cussion.
    • Use different colors of mats for where students will seat than for where teachers will seat.
    • Get some nice flowers to decorate at the center of the hall and in the altar. (important)
  • Attend the introductory meeting – Introduce yourself, try to learn their names and encourage them to go till the end of the course, overcoming laziness and finding support in you and SK family if they experience hard moments. Give them useful tips and common-sense recommendations (sleep early, arrive on time at classes, stay hydrated, avoid intoxicants…).
  • Inform student that if they would like to have a personal interview with a teacher during the course to dicuss personal matters thay can do it though you. Assign slot evengly to all teachers, however you must ask before hand to the lead teacher of the course which teacher’s are able to take interviews as no all teacher might be ready. Avoid assigning too many slots to a single teacher (like to Ishi πŸ˜‰ ).
  • Create an attendace form with the name of all students in each group to be used weekly to report students attendance. Ensure teachers and volunteers mark activitly students absense. One form should be available in every hall. (volunteers for Osho Dynamic and the teachers the rest of the classses).

During the course

  • Attendance: Your main responsibility is to ensure students attend classes and keep an accurate record of absences.
    • Especially to OSHO Dynamic in the morning. Have a list of where all students are staying and if they don’t arrive to the class go to their rooms, nock and kindly say “Sweetheart, you are late for meditation” πŸ˜‰
    • Every Monday send a message to the teachers group with a detail of students that missed classes and how many hours each student.
  • Be available (so they can see you) with the students during breaks
  • General course management: – Once the course has begun, just use your common sense to take care of the students and support them the best you can. They have a big workload; we should take care of all side aspects.
    • Keep checking the students’ attendance on a daily basis. As soon as a student starts missing classes, talk to them privately, remind them of the importance of attendance and inform them that if they miss a certain number of classes, they will not be able to graduate.
  • Ensure exams are printed ontime and remaind students in the WhatsApp group about the upcoming exam (more than once is better ;-))
  • Every Monday remind the students to join community dinner; make it appealing. Is very good that they all join.

Last week of the course

  • Arrange students mentorship, collect a list of the students that would like to sign-up for the mentorship and collect payments. Details of the mentorship are available on a separate article.
  • Collect students name to print the certificate, students should write down their names in the way they would like it to be printed in the certificate.
  • Ensure you have printed certificates coming from the printing shop, the certificates should be printed on high quality.
  • Print all certificates as everyone has passed already, later on that week the lead teacher of the course will tell you if any student has to get a participation certificate.

  • Book location for the final ceremony – Start to look for a place suitable for the final ceremony at least 5 days before. Something on the beach and with a swimming pool preferably – currently the school holds the graduation ceremonies at Phangan Cove. Food is currently provided by the resort. Arrange the price and the menu very clearly. Pay a deposit and the rest at the end, not before.
    • Create a ceremony program for the final ceremony – Make a program with Ishi for the ceremony and take care of all aspects needed. Put the certificates in yellow envelopes along with the final handout, which should have been printed before. Inform students about the ceremony.
    • For the final ceremony, please arrange: tea light candles, glass candle holders (30pc) and sound system.
